Allo Dashboard: Invite and Manage Organisation Users
Invite new users to your Allo organisation, assign admin or standard roles, and remove or deactivate accounts when people leave the team.
Every person who uses Allo within your organisation needs an account linked to that organisation. Accounts are not self-service — you, as an administrator, send each user an invitation. The invitation carries the organisation context so that when the user accepts it, their app is automatically configured with the correct groups, contacts, and settings. This page explains how to invite users, what roles are available, and how to remove or deactivate someone when needed.
User roles
Allo has two roles within an organisation.

Assign the admin role only to people who need to manage the organisation — for example, coordinators, IT staff, or team leaders responsible for the deployment. All other field users should be standard users.
An admin can always use the mobile app exactly as a standard user does. The role only adds access to the web dashboard.
Invite a new user
Open the Users section
Log in to the dashboard and navigate to Users in the left-hand sidebar. You will see a list of all current members of your organisation.
Click Invite user
Select Invite user (or the equivalent button in your dashboard version). An invitation form opens.
Enter the user's email address
Type the email address of the person you want to invite. Double-check the address — the invite link is sent directly to this address.
Choose a role
Select either Standard user or Admin from the role selector. You can change a user's role at any time after they have accepted.
Send the invitation
Confirm and send. The dashboard generates an invite link and dispatches an email to the address you entered.
User accepts the invitation
The invited person opens the email, taps the invite link (or scans the QR code if you share it another way), and follows the in-app steps to create or link their account. Once accepted, they appear as Active in the Users list.
If the user needs to join from a device without email access — for example, a borrowed phone at an exercise — copy the invite link from the dashboard and share it via another channel such as SMS or a printed QR code.
Resend or revoke a pending invitation
A user who has been invited but has not yet accepted appears with a Pending status. From the Users list you can:
- Resend the invitation email if it did not arrive or the link has expired.
- Revoke the invitation to cancel it before it is accepted.
Change a user's role
To change a user from standard to admin (or vice versa), open their profile in the Users list and update the Role field. The change takes effect immediately — there is no need to re-invite the user.
Remove or deactivate a user
When a team member leaves the organisation or no longer needs access to Allo, you should remove their account promptly.
Locate the user
In the Users section, find the person by name or email using the search or filter tools.
Open their profile
Click the user's name to open their profile page.
Deactivate or remove
Choose Deactivate to suspend access while keeping the account record (useful if the person may return), or Remove to delete them from the organisation entirely. A removed user must be re-invited if they need access again in the future.
Removing a user does not automatically unassign their Allo client device. After removing a user, go to Devices & Repeaters and reassign or unassign the device so it can be issued to someone else.
Frequently asked questions
Can a user belong to multiple organisations?
Not at this time. Each Allo account is linked to one organisation. If your deployment involves multiple organisations (for example, a joint exercise between two safety regions), each user must be invited into each relevant organisation separately.
What happens if an invite email is not received?
Ask the user to check their spam or junk folder first. If the email is not there, return to the Users list in the dashboard, find the pending invitation, and select Resend. You can also copy the invite link and share it directly — for instance via a secure messaging channel your organisation already uses.
Can a standard user see who else is in the organisation?
Users see only the contacts and groups that have been assigned to them in the dashboard. They do not have a view of the full user list.
How many admin accounts should an organisation have?
At minimum two, so that access is not lost if the primary admin is unavailable during a crisis or exercise. For large deployments, consider one admin per team or location.
